Procurement Services Department

The Procurement Department works to ensure that Queen Victoria Hospital NHS Foundation Trust contributes to quality patient care by making the best use of its resources. This is achieved by seeking the best possible value for money on all appropriate non-pay expenditure. The department also aims to ensure compliance with Trust Standing Financial Instructions (SFIs) and public procurement regulations, manage supply risk and provide operational support and strategic advice on all procurement and supply issues. Our dedicated Supply Chain colleagues are responsible for providing a top-up service to our wards and theatres.

Selling to the Trust

The Trust does not maintain a preferred or approved supplier list. It uses national contracts or agreements wherever possible, primarily through NHS Supply Chain.

Where it is not possible to use a national agreement, and when it is appropriate to make a publication, the trust will advertise contracts in the public domain via the government portals below

 Tips for tendering

  • Register with our eSourcing portal, this is a key location for tenders published by the Trust.
  • Make sure that you fulfil the criteria in the specification before starting the bid process
  • Don’t be put off by the tender documentation. It is part of the Buying Organisation’s job to provide any relevant clarifications.
  • Provide all the information requested or make it clear within your tender return where it has not been possible and the reasons why.
  • Focus your answers on the questions. Show how you will fulfil the requirements set out in the tender.
  • The Trust can only evaluate on what is written down in your answer. Don’t assume ‘it goes without saying’ or that past performance or contracts currently held hold value in decision making. Treat every Request For Quotation and tender as a new requirement.
  • Be clear on your pricing model (e.g. works are broken down into labour, materials, equipment etc.)
  • Late submissions are likely to be rejected.
  • Take advantage of asking clarification questions at the beginning stages of the bid process.
